A Occupancy Planner is needed for a company that manufactures and sells marking, tracking and computer printing technologies in the Holtsville, NY area. This role involves managing space planning, occupancy optimization, and move coordination within a corporate real estate environment, utilizing IWMS software, AutoCAD, and data analysis to ensure efficient and compliant workplace solutions.

responsibilities:
- Conduct site assessments and surveys to verify occupancy, furniture, space type, and client data.
- Prepare and present detailed space planning options to Real Estate leads.
- Optimize space utilization for efficiency and functionality.
- Analyze space usage data to identify areas for improvement.
- Ensure compliance with core program standards.
- Provide proactive solutions for space planning challenges.
- Maintain expertise in space management systems.
- Receive and process client move requests.
- Participate in planning meetings with clients and key stakeholders.
- Develop and document move phasing plans for large relocation projects.
- Prepare and update move status reports.
- Monitor changes in business needs that impact move scope and requirements.
- Manage IWMS (ManhattanOne) system, including floor plan updates in AutoCAD.
- Create proposed floor plan layouts for operational projects and event spaces.
- Support broader space management projects and initiatives.
- Adjust space planning to accommodate change requests.
- Manage tickets for new hires, space requests, and move-related needs.
- Update and maintain space stacking plans and floor block plans.
- Conduct space audits to validate occupancy data and attributes.
- Collaborate with onsite teams to ensure accurate space audits.
- Provide Excel-based analysis of CAFM data to support planning scenarios.
- Develop visual presentations to communicate space planning strategies.
- Maintain accurate and up-to-date space and occupancy data.
- Update databases with HR data related to new hires, terminations, and moves.
- Support quarterly audits by physically verifying space occupancy and collaborating with onsite resources.
- 2-4 years of experience in space planning, design, occupancy planning, or workplace strategy in a corporate real estate setting.
- Background in design, architecture, workplace planning, or strategy is preferred.
- Intermediate to advanced proficiency in Microsoft Office, particularly Excel.
- strong communication skills for coordinating across teams and departments.
- Advanced ability to read and interpret building drawings and floor plans.
- Experience working with CAD or other drafting software.
- Familiarity with space planning and IWMS/space management software.
- strong multitasking abilities and ability to manage changing priorities.
- Exceptional attention to detail.
- Willingness to work nights and weekends when needed for move support.
- Excellent customer service and interpersonal relationship skills.
- Ability to work independently and collaboratively within a team.
