Our client, a leading heavy underground utility contractor, is seeking a skilled and experienced Construction Project Coordinator that will play a critical role in supporting project management teams throughout the construction lifecycle. This position is responsible for coordinating subcontractor documentation, managing construction payables, maintaining contract and invoice logs, and assisting with project closeout procedures. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks in a fast-paced construction environment.

responsibilities:
Contract Administration
- Prepare and process Subcontracts, Material Contracts, and RFI's and Change Orders.
- Create and maintain Purchase Orders and contract logs.
- Enter all commitments and contract changes in accounting systems such as Sage, Yardi, and Textura.
- Maintain electronic records of all contract documents, including executed agreements, insurance certificates, lien waivers, and correspondence.
- Obtain, track, and approve all subcontractor and vendor insurance.
- Maintain Notices of Contract and Lien Waiver Logs.
- Support subcontractors with inspection scheduling and recordkeeping.
- Track daily reports, safety documentation, and manpower logs from subcontractors.
- Review and process subcontractor draw requests and ensure accurate calculations, lien waivers, and signatures.
- Ensure all construction payables are submitted to AP according to specific deadlines.
- Collaborate with Project Managers and Superintendents to review and approve invoices.
- Provide administrative support to Project Managers across multiple projects.
- Assist in the generation of reports for budget tracking, schedules, procurement, productivity, and safety.
- Coordinate and electronically submit project documentation and routine correspondence.
- Support internal and external communication with subcontractors, vendors, and project stakeholders.
- 3+ years of experience in construction administration or project coordination preferred.
- Experience with utility construction is a plus
- Knowledge of construction contracts, RFI's and Change Orders
- Ability to multitask, prioritize, and meet strict deadlines.
- Experience working with general contractors, subcontractors, and owners.
