Qualifications:
- 3+ years of experience in the construction industry.
- Knowledge of AIA documents (G702/G703) and Florida Lien Law.
- Experience with Bluebeam/Adobe Writer and Dropbox preferred.
- strong communication and organizational skills.

Responsibilities
- Meet regularly with the Project Manager and Accountant to assess job needs, including tracking submittals, scanning project books, following up on subcontractor documents, and other tasks as required.
- Set up electronic and physical project files when new job numbers are assigned, following procedures.
- Review each project to understand unique aspects, billing/payment cycles, and assist in distributing payment applications and lien releases.
- Prepare project packages for Superintendents, including standard documents like OSHA posters, daily reports, subcontractor notices.
- Procure and log subcontracts, vendor contracts, purchase orders, change orders, and payment applications into project management software. Secure approvals, obtain signatures, prepare for mailing, and track execution.
- Maintain and update the subcontractor Bid List with accurate contact information.
- Create and update drawing logs for owner contracts and subcontract packets. Assist with owner contracts.
- Distribute bid invitations, construction drawings, and design updates. Follow up to ensure all scopes are fully vetted.
- Review vendor subcontracts and POs for accuracy and compliance. Resolve discrepancies with the Project Manager and vendor until documents are fully executed.
- Support bidding exercises: creating bid books, sending invitations, tracking subcontractor/vendor bids.
- Update insurance certificates for subcontractors regularly.
- Collaborate with design engineers on change orders and maintain logs.
