Responsibilities
- Support the preparation and processing of legal documents, including summonses, subpoenas, complaints, appeals, motions, pre-trial agreements, requests for production, and other due diligence materials.
- Draft correspondence, office memos, documents, emails, and related materials.
- Assist with meeting, hearing, deposition, and trial preparation and setup.
- Organize and monitor case documents, create and maintain indexes of client files, and review documents to track critical dates and update calendars accordingly.
- Scan, record, and index documents and files for the document management system and extranets.
- Manage file materials and records, including retrieval, preparation for offsite storage, and handling transfers or destruction of records as needed.
- Enter and update billable time entries, organize and process expense reimbursements, submit CLE credits, and manage the opening and closing of client matters.
- Perform administrative tasks such as handling copy jobs, certified mail, mail pickup/drop-off, and local hand deliveries.
- Manage reception duties, including answering the switchboard, greeting visitors, directing calls and guests, and scheduling conference rooms.
- Order office and break room supplies, coordinate catering for meetings, and assist with special events.
- Perform additional duties as assigned.
