As the first point of contact for our office, you will manage the front desk reception area with professionalism and care. You'll interact with clients who may be under significant stress, ensuring they feel supported and welcomed. This role requires empathy, attention to detail, and the ability to maintain order in a sensitive and secure environment.

Responsibilities
Reception and Compassionate Communication:
- Serve as the primary point of contact by answering the main phone line.
- Take detailed messages for case coordinators and medical staff regarding current or past DCF or Sheriff’s Office cases involving alleged child abuse.
- Ensure prompt communication by organizing message pickup throughout the day.
- Welcome clients warmly and provide intake paperwork for their appointments.
- Monitor the adjacent waiting room to ensure a comfortable and calm environment for children and families.
- Engage children with coloring pages or demonstrate the use of the game table during their wait.
- Ensure safety and security by controlling access to the building via a locked front door and secured internal doors.
- Organize and manage filing systems, including tracking and coordinating offsite record storage with Iron Mountain.
- Monitor office supply inventory and initiate orders for the Jacksonville office.
- Provide backup support for other administrative positions within the division as needed.
- Assist with scheduling and organizing events, ensuring proper arrangements for meeting spaces and necessary resources.
