Responsibilities
- Coordinates Executive Teams calendar management, requiring interaction with both internal and external executives and assistants, as well as other business associates to organize a variety of complex meetings. Sets reminders and assists with the various needs for each activity, including retrieval of proper historical references, minutes of prior meetings, etc.
- Assist in leadership meetings by taking accurate minutes, distributing them promptly, and maintaining organized records
- Schedules and organizes all domestic and international travel, lodging, and events.
- Mail, retrieve, sort and distribute correspondence to appropriate personnel.
- Manage the purchase and distribution of all company gifts for clients, employees, and special events.
- Tracks spend on Company credit cards and perform receipts reconciliation.
- Maintain a professional and tidy office space. Alert building management of any issues or concerns.
- Order, stock, and maintain office supplies, food and snacks.
- Coordinate and communicate with building management and vendors for various office needs and requirements, i.e. additional space requirements, repairs and deliveries.
- Coordinate events, meetings, and other social engagements.
- Contact service providers for maintenance services and office equipment.
- Collect, record and file monthly company receipts.
- Deals with confidential business and personal information. Demonstrates integrity, ethical tact, and ability to maintain confidential information.
