Responsibilities
- Coordinate move schedule with Office Manager, landlord/property management teams in both existing and new building.
- Liaise with contractors, vendors and internal teams to coordinate logistics for physical move, including scheduling, vendor contract milestone management, and communication with all involved parties.
- Ensure that all office contents (furniture, equipment, documents, etc.) are properly packed, labeled, and transported to the new location.
- Upon the direction of the Office Manager, liaise with movers, IT specialists, furniture installers, property management, building security, elevator companies and other vendors to ensure seamless execution of the move as needed.
- Report any issues or delays with vendors and contractors, ensuring that the project remains on schedule to the Office Manager.
- Confirm any after-hours permits have been obtained and if required, “no parking areas” have been obtained and street signs placed.
- Participate in building protection is in place on both ends. Conduct pre and post move walks with property management.
- Ensure building rules and regs are understood and communicated to all move-related parties.
- Ensure Certificates of Insurance are issued by move-related parties and shared with property management in both existing and new buildings.
- Oversee the physical packing process, ensuring proper labeling and organization.
- Coordinate and assist with the installation of office equipment, including IT systems, furniture, and utilities.
