Responsibilities
- Receive, organize, and process all contract documents with clients and owners.
- Generate and manage documents such as performance/payment bonds, certified payroll, certificates of insurance, notices-to-owner, and EEO compliance.
- Prepare, expedite, and track purchase orders, subcontracts, and submittals for material vendors and subcontractors.
- Collaborate with project managers to clarify subcontractor and vendor scopes.
- Review vendor quotes, submittals, and purchase order terms and conditions.
- Track and ensure timely completion of submittals while maintaining compliance.
- Obtain subcontractor performance and payment bonds as required by contracts.
- Verify vendors’ insurance compliance before work begins.
- Assist project managers with contract-related tasks, including RFIs, pay requests, invoice approvals, lien releases, and project close-out documentation.
- Manage project management databases, including subcontractors, vendors, material specs, and best practices.
- Participate in project handoff and job planning meetings.
- Organize and maintain contract files, ensuring all documents are executed and accessible.
- Analyze material and subcontractor needs, soliciting bids and quotes as needed.
- Provide administrative support to project managers and management, improving communication and tracking procedures.
- Assist jobsite operations as needed, including coordinating logistics for trailers, temporary facilities, accident reports, material orders, and accommodations.
