Key Responsibilities: Customer Service & Coordination
- Serve as the key liaison between departments to ensure customer needs are met throughout the product lifecycle.
- Maintain clear and professional communication with internal and external partners via email, phone, and chat.
- Track and manage product development details, ensuring accurate updates
- Oversee sample processing, including tagging, shipping, tracking, and recording approvals or revisions.
- Process art and sample orders, assist with reorders, and manage sales order records for seamless tracking.
- Work closely with production and customer service teams to ensure on-time, accurate order completion.
- Handle front-desk responsibilities, including greeting visitors and managing incoming calls and mail.
- Coordinate shipping and documentation, ensuring timely processing of invoices and product certifications.
- Maintain organized financial records, including tracking costs and processing payables.
- Assist with internal administrative duties to support smooth daily operations.

Responsibilities
- Relaying accurate information with internal and external partners via email, phone, and/or chat in a professional and timely manner.
- Handling sample process consisting of receipt, tagging, shipping/tracking to customer(s) as well as revision/approval notations and sample room management
- Processing art orders, sample orders and assisting as needed with reorder entry
- Maintaining an organized record of all sales orders and customer communications to efficiently answer inquiries regarding the status of any given program
- Coordinating with customer service and production to ensure orders are completed accurately and on schedule as well as assisting with correspondence as needed regarding any updates
- Assisting with various administrative tasks such as greeting visitors, answering the phone, preparing Fed Ex packages and processing mail
- Confirming product test date and COC date for orders that are shipping
- Changing order status and emailing invoices to customer(s) if required
- Assisting with weekly payables check run by pulling invoices to be paid using Cash Requirements report, preparing signed checks to be mailed, applying postage and filing paid invoices
