Responsibilities
Responsibilities:
- Maintain up-to-date knowledge of event schedules, locations, room capacities, and specific requirements for both internal and external events.
- Be familiar with all conference room features, services, and operating hours.
- Ensure all conference room policies and procedures are followed.
- Know food and beverage menu options and safety guidelines.
- Ensure event standards are met and maintained, including meeting, catering, and other functions.
- Assist with pre-calls for meetings when needed.
- Attend daily meetings, communicate any changes, and ensure accuracy of event space setup.
- Follow instructions for meeting set-ups, AV, and catering needs, addressing any non-compliance.
- Prepare estimates for food and beverage needs for both internal and external groups.
- Assist with planning and executing events that require group accommodations, ensuring all logistics are effectively coordinated, including food, beverage, travel, housing, and meeting space.
- Work with the travel management company for approvals and vendor coordination.
- Respond to attendee questions and ensure all event details are finalized.
- Manage event budgets and ensure all logistical aspects are handled smoothly.
- Provide necessary post-event information and send out survey links.
- Use event management software (e.g., Cvent, Salesforce, ServiceNow) for event communications and coordination.
