In this role, you will be responsible for receiving orders from the sales team, entering the details into QuickBooks Desktop, and coordinating with clients and internal teams for order fulfillment. You will handle purchase orders, invoices, and shipping documentation while coordinating logistics and transportation for product shipments. organizational and communication skills, along with attention to detail, are essential for success in this position.
The role requires proficiency in QuickBooks Desktop, spreadsheets, and email. A background in office management or sales coordination (5+ years) is required, with experience in machinery distribution or project management preferred. Supervisory experience is a plus but not necessary at the start of the position. The ability to occasionally travel within the U.S. (1-2 times per year) is desirable, though not mandatory. Overtime may be needed, but weekend work is rare.

Responsibilities
The Office Manager is responsible for coordinating the new machine order fulfillment process, including data entry in QuickBooks desktop and CRM, and occasionally working with windows. Maintaining accurate records, and managing communication with customers, vendors, and staff. Experience with supervision is preferred! However, the candidate will not be in a supervisory role at the beginning of employment but eventually move to a supervisory role. The ideal candidate will be extremely organized and show people skills as they will obtain and maintain trust with client and internal employees! Candidate will demonstrate a high attention to detail and ability to focus as she/he will coordinate the order shipment with clients and internal staff. Other key duties include focusing on purchase orders, invoices, and shipping documents, as well as coordinating transportation logistics. The candidate will receive the order from the sales team and input the information in Quickbooks desktop, then will communicate with the clients, then issue orders in the system and proceed to oversee coordination with logistics and shipping.
