Are you the go-to person who keeps everything running like clockwork? We’re looking for a proactive, detail-driven Operational Office Manager to be the backbone of our busy office and field operations.
What You’ll Do: You’ll be the central hub of communication, coordination, and organization. From managing supplies and vendor relationships to handling payroll data and shipping logistics — you’ll keep our office and shop flowing smoothly. Key responsibilities include:
- Answering calls, organizing supplies, maintaining tidy office spaces
- Coordinating with service vendors (printers, AC, plumbing, etc.)
- Handling mail, shipping/postage, document filing & offsite storage
- Arranging catering for events and booking travel for field staff
- Assisting with payroll data entry, inventory, and invoicing
- Creating and tracking POs for consumables and deliveries
- Ensuring accurate handling of shop parts and measurement documentation
- Supporting job scheduling, DOT compliance, and travel budgeting
- Communicating job details to field teams and helping accounting with reports
- Preparing estimates, invoices, and expense documentation for shop and field work
- Exceptional organizational skills and attention to detail
- Great communication and multitasking abilities
- Experience managing vendors, logistics, and office operations
- Comfortable juggling multiple systems and tasks with accuracy
- A team-first attitude with a great sense of ownership

Responsibilities
- Handle calls, order/manage supplies, keep office areas tidy, and coordinate with vendors (printer, AC, plumbing)
- Sort/distribute mail, file documents, assist with shipping/postage, and arrange lunches for events
- Collect and input payroll data, assist with projects, and manage offsite document storage
- Create and track purchase orders for shop consumables, manage deliveries, and maintain records
- Assist with shipping, inventory, and invoicing of shop parts
- Type measurement sheets and ensure accurate part handling
- Arrange travel (flights, hotels, rental cars), manage expenses, and format service reports
- Communicate job details to field staff and assist accounting with travel budgets
- Coordinate field jobs, liaise with customers and vendors, manage job documentation, and ensure DOT compliance
- Create/approve labor estimates, invoices, and expense reports for field and shop work
