Responsibilities
As an Executive Assistant, Job duties include:
- Serve as a strategic partner to the VP, Chief of Staff, EA team, and cross-functional teams to ensure consistent and effective operational cadence.
- Manage the VP’s complex and dynamic calendar including: Schedule and prioritize internal and external meetings, Coordinate agendas, pre-reads, and meeting materials in advance.
- Anticipate the needs of the VP and proactively address potential issues or conflicts.
- Coordinate and track meeting follow-ups, action items, and deliverables.
- Manage domestic and international travel arrangements including flights, accommodations, dining, and ground transportation.
- Process and manage executive expense reports using internal systems (e.g. Concur).
- 8 years of experience as an Executive Assistant supporting VP-level or higher executives.
- Demonstrated ability to thrive in a fast-paced, deadline-driven environment.
- Availability outside of normal office hours to support the executive as needed.
- Exceptional communication skills, both verbal and written, with professionalism and tact.
- Experience working directly with executive leadership teams and board members.
- Advanced proficiency with Microsoft Office Suite and SaaS tools such as Concur, Google Workspace, eSignature platforms, procurement systems, and collaborative tools.
