The Office Manager is responsible for coordinating the new machine order fulfillment process, including data entry in QuickBooks desktop and CRM, and occasionally working with windows. Maintaining accurate records, and managing communication with customers, vendors, and staff. Experience with supervision is preferred! However, the candidate will not be in a supervisory role at the beginning of employment but eventually move to a supervisory role. The ideal candidate will be extremely organized and show people skills as they will obtain and maintain trust with client and internal employees! Candidate will demonstrate a high attention to detail and ability to focus as she/he will coordinate the order shipment with clients and internal staff. Other key duties include focusing on purchase orders, invoices, and shipping documents, as well as coordinating transportation logistics. The candidate will receive the order from the sales team and input the information in Quickbooks desktop, then will communicate with the clients, then issue orders in the system and proceed to oversee coordination with logistics and shipping. Strong organizational skills and attention to detail are essential, along with the ability to use computer software like QuickBooks desktop, spreadsheets, and email. The role also requires effective communication and problem-solving skills, customer service focus, adaptability, coordination and administration, and preferred experience in machinery distribution or project management. 5 years of experience in office management or in sales coordination. Experience in the machinery distribution environment is highly desired. The candidate may be required to travel within the country 1-2 times per year on average. All expenses are covered by the company. If the candidate cannot travel, it is not a problem. Overtime may be needed. Weekends are very rare
