REQUIRED DUTIES
The consultant selected will work with, support, and assist Contract Management and others who are involved with the project in performing the following duties:
3.1.1 Deliverable Review and Acceptance
3.1.1.1 Manage and document deliverable review and acceptance in accordance with the contracts.
3.1.1.2 Review documentation for completeness and accuracy, prepare invoice and supporting documentation for review and acceptance.
3.1.1.3 Assist in managing deliverable review and acceptance, prepare and present deliverable status reports.
3.1.2 Contract Monitoring
3.1.2.1 Assist in the development of Contract Management methods to analyze, monitor, and document contractor adherence to project plans and schedules.
3.1.2.2 Maintain and update Contract Management documentation used to monitor and report contract compliance, financial, and budget information.
3.1.2.3 Prepare and present reports.
3.1.3 Project-Related Meetings
3.1.3.1 Coordinate, attend, lead, facilitate and document Contract Management meetings related to the project.
3.1.3.2 Assist in the preparation of meeting documents.
3.1.4 Consultation
3.1.4.1 Consult with Contract Manager, Contract Management Supervisor or designee on planning, work status and project needs.
3.1.4.2 Provide assistance to Contract Management for contract related activities to include deliverable review and acceptance, change orders, contract expenditures and financial and budgetary information.
3.1.5 Contract File
3.1.5.1 Maintain Contract files including records of deliverable review and acceptance, monitoring reports, change orders, contract expenditures, contract amendments and other documentation.
3.1.6 Other Project Related Activity
3.1.6.1 Other as assigned.
STAFFING REQUIREMENTS
3.2.1 Required Experience
3.2.1.1 3 years of experience in contract monitoring, procurement, finance or related functions.
3.2.1.2 3 years of experience reviewing invoices and supporting documentation for completeness and accuracy.
3.2.1.3 2 years of experience monitoring and documenting vendor performance.
3.2.1.4 2 years of experience organizing and maintaining contract files.
3.2.2 Desired Experience
3.2.2.1 Knowledge of and experience using Florida's contract payment system, "Ariba on Demand."
3.2.2.2 Knowledge of and experience administering Florida law related to prompt payment, deliverable review and acceptance, and contract monitoring.
