responsibilities:
- Calendar Management:
- Efficiently manage and coordinate calendars for C-level executives, ensuring all meetings, appointments, and commitments are properly scheduled and prioritized.
- Proactively handle any schedule changes and provide reminders to executives regarding upcoming events.
- Event Planning & Coordination:
- Plan, organize, and coordinate events such as company meetings, workshops, conferences, and executive off-sites.
- Book and arrange travel, including hotels, transportation, and itineraries for C-level staff.
- Coordinate meeting logistics, including securing meeting rooms, managing audio/visual needs, and ensuring all necessary materials are available.
- Communication & Liaison:
- Serve as a liaison between the C-level executives and other teams, clients, or stakeholders, ensuring smooth communication and fostering positive relationships.
- Handle confidential and sensitive information with discretion.
- Administrative Support:
- Provide day-to-day administrative support, including drafting and editing documents, presentations, and reports.
- Assist with personal tasks for the executives as needed, maintaining a high level of professionalism and confidentiality.
- Task Management & Prioritization:
- Anticipate the needs of executives and proactively assist with the management of tasks and priorities to ensure deadlines are met and workflow runs smoothly.
- Assist in managing internal and external communications on behalf of the executives.
qualifications:
- 10+ years Proven experience as an Executive Assistant, Personal Assistant, or in a similar high-level administrative role.
- Strong organizational and multitasking abilities, with an ability to work under pressure and meet deadlines.
- Excellent communication skills, both written and verbal, with a high degree of professionalism.
- Strong attention to detail and the ability to prioritize tasks effectively.
- Experience in event planning and coordination, including booking travel, accommodations, and meeting arrangements.
- Ability to manage complex calendars and schedules for multiple executives.
- High level of proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with remote collaboration tools (Zoom, Slack, etc.).
- Ability to work independently and remotely, with a strong sense of accountability and reliability.
- Experience in the Consumer/Retail industry is a plus.
