This role is integral to the success of internal operations, as you will be the go to person for the office, ensuring smooth communication and efficient financial processing. In this role you will be responsible for overseeing the accounting and administrative functions of the window division. The ideal candidate will be a self-starter with strong time management skills, capable of wearing multiple hats to support sales, service, installation, and billing operations. Handle customer invoicing and detailed progress payments Ensure proper tracking of commercial accounts and pay programs for work-in-progress jobs. Match orders and deliveries—receive and verify incoming truck deliveries, match paperwork to tickets, and track outstanding shipments. Assist in month-end financial processes, ensuring all transactions are accounted for and billed. Serve as the primary point of contact for the window division, managing incoming emails, calls, and office correspondence. Coordinate service agreements, scheduling, and payments for installation projects. Process customer applications, including bank and trade reference checks. Manage vendor and customer setup, ensuring all necessary documentation (COIs, W-9s) is in place. Oversee office supplies and inventory, including ordering tools, supplies, and general office necessities. Track backorders, create tickets for outstanding deliveries, and ensure proper follow-ups.
