Sets reminders and assists with the various needs for each activity, including retrieval of proper historical references, minutes of prior meetings, etc. Assist in leadership meetings by taking accurate minutes, distributing them promptly, and maintaining organized records Schedules and organizes all domestic and international travel, lodging, and events. Mail, retrieve, sort and distribute correspondence to appropriate personnel. Manage the purchase and distribution of all company gifts for clients, employees, and special events. Tracks spend on Company credit cards and perform receipts reconciliation. Maintain a professional and tidy office space. Alert building management of any issues or concerns. Order, stock, and maintain office supplies, food and snacks. Coordinate and communicate with building management and vendors for various office needs and requirements, i.e. additional space requirements, repairs and deliveries. Coordinate events, meetings, and other social engagements. Contact service providers for maintenance services and office equipment. Collect, record and file monthly company receipts.
